The 15-minute car swap process explained

We run our car swaps from the Station Road hub in Reading. It takes exactly 13 minutes on average to move from your old car into a fresh one for the week ahead. This post breaks down how our 5-person team keeps things moving so you can get back to work or start your weekend without the usual car-dealership headaches.

The 48-hour preparation window

Everything starts on our internal member board long before you drive toward Station Road. You pick your next vehicle at least 48 hours before the swap date. Most of our 57 active members in the Reading area tend to do this on Tuesday mornings while having their first coffee. Once you lock in a car—like the grey 2023 SUV or the blue city hatch—our yard team pulls it into the prep bay. We don't just give it a quick spray; we perform a specific 98-point safety check that includes tyre pressure, fluid levels, and a full battery health diagnostic for our electric models.

We spend roughly 55 minutes on every car interior before a swap happens. Our valeting team uses high-grade steam cleaners on the steering wheel and touchscreens because we know our tech-focused clients appreciate a cabin that feels fresh. We also check the glovebox for any forgotten items from the previous driver. To be upfront, we found 12 different charging cables left behind last month alone. We keep those in a lost-property box at the hub entrance just in case you realise you're missing yours when you arrive.

The final step of the prep window is the fuel or charge status. Every petrol car leaves the hub with a 99.9% full tank, and every EV is charged to at least 87% to preserve battery longevity. We keep a digital log of this in your member dashboard. This means you don't have to stop at the petrol station on your way to an important meeting or a weekend trip to the Cotswolds. The 48-hour preparation window

Our hub at 58 Station Road (RG1 1JX) is designed for speed. When you pull into the lot, our automatic number plate recognition system pings our team. You don't need to hunt for a parking space or go inside a crowded lobby. We have 3 dedicated swap bays right at the front. One of our yard technicians, usually Mike or David, will meet you at your driver-side door with a tablet. There is no paperwork to sign because your contract and ID were already verified digitally when you joined Off Hours Coding.

We ask you to remove your personal belongings while we do a 4-minute exterior walk-around. We look for any new scuffs or glass chips that happened during your month of driving. Honestly, most small stone chips from the M4 are just part of life, and we don't make a fuss about them. We simply note the mileage and confirm the fuel level. Last year, 94% of our swaps were completed without a single billing dispute because our digital photos provide clear evidence for both sides.

By the way, we know moving car seats can be a pain. If you have a child seat or heavy gear in the boot, our team is happy to help lift it across to the new vehicle. Digital keys and the hardware swap

The hardware swap is the only physical part of the deal. You hand over your current key fob, and we hand you the new set. For our newer fleet models, you can also use the OHC app to unlock the vehicle, but we find 82% of our members still prefer having a physical key in their pocket. Inside the new car, you'll find a small welcome pack. It includes a biodegradable bottle of water, a fresh charging cable, and a 1-page cheat sheet for the car's infotainment system.

Since our members are often developers or IT managers, we ensure the Bluetooth and CarPlay systems are reset and ready for a new connection. Nothing is more annoying than trying to delete the previous driver's phone list while you're sitting in traffic on the A33. We wipe all navigation history and saved addresses as part of our privacy protocol. This ensures your data stays your own. We've managed this process for over 156 successful swaps since we opened this location in 2021.

Before you put the car in gear, we do one final check of your digital dashboard. You'll see the new vehicle's insurance certificate and breakdown cover details are already updated in your app. There's no need to carry a folder of documents in the glovebox. If you ever get stopped or need assistance, everything is on your phone. We've simplified the legal side so that the only thing you have to think about is adjusting your mirrors and seat position.

Exiting and post-swap support

Once you drive out of our gate, you're usually only 8 minutes away from the Green Park business area or 11 minutes from M4 Junction 11. We send a digital receipt to your email address within 12 minutes of your departure. This receipt includes the final inspection report of the car you returned and the starting stats for your new ride. One monthly bill covers the whole subscription, so there are no surprise fees for the swap itself. It's all included in your flat rate.

If you notice something isn't quite right after you leave—maybe a squeaky wiper blade or a Bluetooth quirk—you just message us on the app. We don't make you wait for a call centre. Our Reading team monitors the chat from 08:30 to 18:00 daily. If the issue is annoying, we'll even swap you into another car the next day.
